4.1 Pay Days and Hours of Work
Purpose
To establish the hours of employment in Rochester University’s basic work day and week and to establish pay periods and paydays to administer the payment of wages, salaries and overtime.
Scope
This policy applies to staff of Rochester University.
Policy
- Hours of Work – The normal work week is 37.5 hours. For most offices, the work week is Monday through Friday; however, exceptions will be made depending on needs of the department.
- The standard work day is 8:30 AM – 5:00 PM, with one hour for lunch. Various shifts may be arranged based on needs of the department. It is expected that all offices will be open to the public from 8:30 AM – 5:00 PM.
- Pay-Days – All employees are paid semi-monthly, on the 15th and last day of each month. If the day falls on a weekend or holiday, pay will be distributed the Friday prior. One exception to this is the December 31 payroll. Pay for December 31 will be distributed on December 31.
- Non-Exempt Staff, including Student Employees – Non-exempt staff and student employees are paid one pay period behind. Work performed:
- 1st – 15th of month – paid on last day of month
- 16th – last day of month – paid 15th of following month
- Overtime is calculated as any hours worked over 40 hours in one calendar week (Monday – Sunday). Beginning with the 41st hour worked, non-exempt employees will be paid one and one half times (1½) their normal pay rate. Further information provided in the following section.
- Exempt Faculty and Staff – Based on new FLSA requirements that go into effective December 1, 2016, Exempt Faculty and Staff making under $47,476 annually will be paid one and one half times (1½) their hourly rate of pay for hours worked in excess of 40 per week. Exempt employees are paid to date. Work performed:
- 1st-15th of month – paid on 15th of the same month
- 16th – last day of month – paid on last day of the same month
- Direct Deposit – Rochester University’s preferred method of compensation payment is direct deposit. All employees may set up direct deposit to either a checking account, savings account or both. The direct deposit form is available in the Human Resource office or on the Staff and Faculty Portal under the HR section.
- Distribution – Paychecks are delivered to the appropriate campus department each payday for employees with offices at the Rochester University main campus, unless prior arrangements are made with the Payroll Administrator. Adjunct faculty paychecks are mailed to home addresses. Direct deposit statements are available online through Paycor.
- Pay Upon Termination – Any payroll check due to a former employee following his or her last day of employment, will be a paper check and mailed directly to the individual’s home address.
