Application of Grades and Credits
The chart below describes the impact of each grade on a student’s academic progress. For calculating rate of progress, grades of F (failure), W (withdrawn), repeated courses, and I (incomplete) are counted as hours attempted. Grades of F (failure) and W (withdrawn) are not counted as hours successfully completed. The student must repeat any required course in which a grade of F or W is received. Undergraduate students will only be allowed to repeat courses in which they received a grade of C- or below and graduate students will only be allowed to repeat courses in which they received a grade of B- or below.
Courses repeated during a student’s program of study due to non-satisfactory grades will be indicated as a repeated course with the highest grade calculated into the CGPA. Both original and repeated credits will be counted as attempted credits in rate of progress calculations. A “W” grade will not be indicated as a repeated course on a student’s transcript and remains part of the student’s permanent record.
A “W” Grade indicates that a student has been withdrawn from a course. Students who withdraw from a course during the add/drop period will be unregistered from the course. Students who withdraw from a course after the add/drop period but before the last calendar week of the scheduled course will receive a grade of “W”. Students who withdraw during the last scheduled calendar week of the class, and have a date of attendance (LDA) for the class during the last calendar week of the scheduled course, will receive the grade earned calculated as a final grade.
“W” Grades are also awarded when students do not successfully meet course attendance requirements. Please refer to the individual Attendance and Leave Of Absence policies for details.
Incomplete
To receive an Incomplete (I), the student must petition no later than the final day for the course to request an extension to complete the required course work. It is the responsibility of the student to know and comply with the due date for the submission of an incomplete grade request. If a student is unsure of the exact date the incomplete form must be submitted, they may speak with any of the following university staff: Academic Operations Coordinator (ground campus), Student Services Advisor, Student Services Manager, Instructor, or Program Chair. In order to qualify for an incomplete, a student must be able to mathematically pass the class which includes the potential scores earned for assignments to be submitted as part of the Incomplete duration. Additionally, the student must have been in communication with the faculty member during the session regarding the situation impacting course progress or have evidence substantiating why communication was not possible.
Faculty members reviewing an Incomplete request will conduct an analysis of the student’s academic progress in the course. A determination is made by the faculty member, in writing, as to whether an (I) is granted. The allowable volume of assignments for an Incomplete duration is determined at the campus level of the University. Students awarded a grade of Incomplete (I) must have an active University student status at the time of the award and throughout the duration of the Incomplete duration.
At the Online campus, students are limited to two assignments for inclusion in the standard Incomplete; excludes intellipath assignments any of which can be worked on during an approved Incomplete award. Students seeking to submit more than two assignments must contact the Program Chair for an Incomplete exception. Students awarded a grade of Incomplete (I) must have an active University student status at the time of the award and throughout the duration of the Incomplete duration.
The instructor reviews the request and approves or rejects the student’s request. Approved requests are routed to the Academic Affairs department and must include demonstration of the faculty member’s awareness of the student’s circumstances and desire for an incomplete. If request is denied, student can appeal to the Program Chair within the first 5 days after the close of the session. The Student Services Advisor can assist the student with presenting an appeal. Any request for time beyond the standard incomplete time frame, or more than 5 days after the course has closed, must be made to the Vice President of Academics. All decisions made by the Vice President of Academics are final.
Work approved for submission as part of the Incomplete must be completed within 14 days from the date the (I) grade is posted as the final grade for the class. If the student does not complete the work within the stipulated time, the incomplete (I) final grade will be converted to the earned final letter grade based on the course grade book and will affect the student’s CGPA.
Students have within thirty (30) days from the final day of the course to pursue an Incomplete request for the class. The timeframe includes requests to the faculty member, Program Chair, and Vice President of Academics or equivalent. After 30 days, the student cannot pursue an (I) grade for the class via the faculty member, Program Chair, and Vice President of Academics or equivalent.
Proficiency
A proficiency (PR) grade is awarded for proficiency credit earned through prior learning assessment. Developmental credits are not intended for transfer and will not apply to graduation. They are, however, calculated in determining satisfactory academic progress.
